一、岗位基本信息
工作地点:上海
基金执行秘书负责遨问基金的日常运营管理工作,涵盖各项行政、合规、财务、报告等事务;在基金投资 决策委员会(IC)及有限合伙人(LP)会议中履行秘书职责;协调外包服务商及第三方服务机构的相关工作;执行与投资、资金拨付相关的决策事项;维护基金与外部合作方的合作关系。
二、岗位职责
1、行政及基金秘书事务:负责基金日常运营的统筹管理,保障与GP之间的信息高效流转;根据需求提供专业支持,助力GP及LP层面的决策制定;统筹规划并筹备GP及LP定期会议,在会议期间担任秘书职务。
2、协调外部合作机构:对接基金外部的行政管理、财务、审计、法务及托管银行等服务商,协同基金会计师事务所及其他外部机构,监督基金资金流转情况;保障与各服务机构间的信息及时互通,并对相关材料的准确性与完整性进行初步审核。

5、LP沟通与信息披露:定期向LP发送基金运营报告;组织LP年度会议,解答LP关于基金业绩及投资策略调整的相关咨询;处理LP提出的基金赎回、股权转让相关需求,协助完成相关流程,并确保全流程合规。

1. Basic Job Information
Job Title: Executive Secretary for Funds
Work Location: Shanghai
The Executive Secretary manages the day-to-day activities of the CM Family of Fund (Funds), including administrative tasks, assumes the role of Secretary during Fund IC and LP meetings, coordinates the activities of contractors and third-party service providers, conducts the finance and administration of the Fund, executes the policy decisions pertaining to investments and disbursements, and manages the Fund’s relationships with external parties.
2. Responsibilities
1️⃣Administrative and Fund Secretariat activities: carrying-out the day-to-day management of the Fund’s activities, ensuring that information flows to and from the GP and providing guidance as requested to support decision-making at the GP and LP level; planning and preparing regular GP and LP meetings and assuming the role of Secretary during those meetings.
2️⃣Coordinating activities with external fund admin/finance/audit/legal/ custodian bank contractors: supervise the financial flows of the Funds in coordination with the Fund’s accounting firm and other external providers. Ensure timely information flow to and from service providers. Preliminary check on accuracies and completeness.
3️⃣Audit, compliance, and regulatory requirements: in coordination with fund admin, legal advisors and other external parties, ensuring that the Funds and GPs are fully compliant with relevant laws and regulations.
4️⃣Portfolio monitoring: track administrative process of CM portfolio companies, including fundraising, cap tables, shareholder and board of director meetings materials. Act as liaison between portfolio companies and GP in all admin/ financial/legal matters.
5️⃣LP Communication and Information Disclosure: regularly send fund operation reports to LPs; organize LP annual meetings, answer LPs' inquiries regarding fund performance and investment strategy adjustments; handle LPs' requests related to fund withdrawal and equity transfer, assist in completing relevant procedures, and ensure compliance throughout the entire process.
3. Requirements
1️⃣University degree in law or economics or comparable education
2️⃣Several years of experience in an administrative or management role in institutions, familiarity with RMB and USD fund administration is a plus
3️⃣Excellent oral and written communication (English and Chinese) and interpersonal skills

The Consulate is seeking to recruit a positive, energetic, and service-minded Commercial Officer to drive and support our work within commercial advisory related to the Food and Agriculture sector with ad hoc delivery to the health/life science sector.
The Consulate is an ambitious and dynamic workplace. We promote the bilateral relations between Denmark and the People’s Republic of China in key strategic sectors. In the field of Food and Agriculture, work is undertaken by a cross-mission team with 2 posted diplomats and 8 local staff members. The team task is to provide support and assistance to Danish companies engaged in export of food, fisheries and agricultural products, solutions and services to the Chinese market.
In your role as commercial officer, you will work under the strategic direction of the team leader in Beijing and in close cooperation with the colleagues within your team. Other key stakeholders include the Trade Council under the Danish Ministry of Foreign Affairs, and relevant Danish and Chinese companies and industry organisations.
I. Main tasks and responsibilities
The Embassy’s Food & Agriculture Team plays a key role in promoting Danish companies within the food, fisheries and agriculture sector to relevant Chinese stakeholders. This includes advising Danish companies on strategies for entering and penetrating the attractive but complex Chinese market, as well as assisting companies already present in China.
For this position, the focus will be on assisting Danish companies within the food and beverage sector. This includes proactively following market trends, identifying commercial opportunities, developing a strong on-ground commercial network, and engaging with Danish companies to assist in facilitating their export and marketing activities within the Chinese market, including in relation to the major Shanghai based trade fairs.
Working within the China matrix setting as described above, you will be responsible for undertaking your own work in accordance with the direction from the team leader, and in cooperation with other members of the team. This may include managing individual projects and assignments, as well as contributing to larger cross-mission initiatives and projects.
Some business travel within China and to Denmark should be expected.
Responsibilities include but are not limited to:
1.Proactively following market trends and identifying commercial possibilities of relevance for Danish companies and the export of Danish food and beverage products within the Yangtze River Delta and beyond.
2.Building and maintaining professional networks and relations with relevant industry stakeholders in both China and Denmark.
3.Working strategically with Danish companies to assist in facilitating their export and marketing activities within the Chinese market, including in relation to the major Shanghai based trade fairs.
4.Managing and/or contributing to events held at the Consulate, including contributing to the planning and execution of high-level commercial and governmental visits.
5.Delivering on KPIs together with the rest of the Commercial Team, including ensuring that our assistance is delivering value to Danish companies and our other stakeholders.
6.Ensuring compliance with our internal requirements, including in terms of contract and financial management, time registration, GDPR compliance etc.
Qualifications
We are looking for a colleague who:
1.Holds an academic degree, preferably in relation to the food and agriculture sector or international relations/trade.
2.Has experience in providing commercial consultancy and/or international trade facilitation.
3.Has a minimum of five years of experience related to international trade facilitation and/or the food and agriculture sector.
4.Has a high level of oral and written proficiency in English and Chinese.
5.Has a high sense of responsibility, as well as the ability to work both independently and as part of a team.
6.Has highly developed planning and project execution skills, including being able to prioritise task to deliver within given timeframes and budgets, as well as to meet the expectations of clients and other stakeholders.
